Vacation Rental House Rules Template: Clear Rules Guests Can Actually Follow

By GuestMeadow · Published August 30, 2026 · Practical guidance for vacation-rental hosts

House rules work best when they are specific enough to act on and short enough to read. Guests should not have to interpret phrases such as "be respectful" when the property really needs a clear quiet-hour window, a parking boundary, or a rule about who may use the hot tub.

Use this template for Airbnb, Vrbo, direct bookings, cabins, condos, beach houses, and other vacation rentals. Remove every rule that does not apply. Your listing, rental agreement, local requirements, and guest guide should agree with one another; the house guide should not introduce surprise fees or new restrictions after booking.

Complete vacation-rental house rules template

Start with the rules that affect neighbors, safety, property access, and the condition of the home. Then add property-specific amenity rules only where guests genuinely need direction.

Full house rules
Occupancy and visitors Maximum overnight occupancy is [NUMBER] registered guests. [DAY VISITOR POLICY]. No unregistered overnight guests without prior approval through [CONTACT METHOD]. Quiet hours Quiet hours are [START TIME] to [END TIME]. Keep music, outdoor conversation, vehicles, and other noise low enough that it cannot be heard beyond [PROPERTY / UNIT / LOT BOUNDARY]. Smoking and vaping [NO SMOKING OR VAPING ANYWHERE ON THE PROPERTY / DESIGNATED LOCATION]. Dispose of smoking materials only in [SAFE LOCATION]. Pets [NO PETS / APPROVED PET POLICY]. [LEASH / WASTE / FURNITURE / YARD RULES THAT ACTUALLY APPLY]. Parties and events [NO PARTIES OR EVENTS / EVENT POLICY CONSISTENT WITH BOOKING TERMS]. Property care Use furniture and equipment for their intended purpose. Do not move indoor furniture outside. Report damage, leaks, or equipment problems promptly at [CONTACT METHOD]. Trash and recycling Place bagged trash in [LOCATION] and recycling in [LOCATION]. Follow [LOCAL SORTING OR WILDLIFE STORAGE NOTE]. Checkout Checkout is by [TIME]. Follow the current departure checklist in [GUIDE LOCATION]. Return [KEY / FOB / REMOTE] to [LOCATION] and lock [DOORS / WINDOWS] before leaving.

Short house rules version

If the property is simple, a concise version is often better. Put the full legal or booking terms where they belong and keep the in-property reminder focused on behavior during the stay.

Short house rules
• Registered guests only; maximum occupancy is [NUMBER]. • Quiet hours are [START] to [END]. • [NO SMOKING / DESIGNATED SMOKING POLICY]. • [PET POLICY]. • Park only [LOCATION]. • No parties or events beyond the approved reservation. • Report damage or maintenance problems promptly at [CONTACT METHOD]. • Checkout is by [TIME]; follow the departure checklist in the guest guide.

Occupancy and visitor rules

Separate overnight occupancy from daytime visitors. If local permits, insurance, building rules, or septic capacity limit the property, use the actual approved number rather than a generic template value.

Occupancy wording
The reservation covers up to [NUMBER] overnight guests. Day visitors are [ALLOWED / LIMITED TO NUMBER / REQUIRE APPROVAL] and must leave by [TIME]. The property may not be used by more people than the approved occupancy or for an event that was not included in the reservation.

Noise and neighbor rules

Quiet hours are easier to follow when they contain a clock time and examples. Add building-specific or local noise requirements where they apply, but do not exaggerate them.

Quiet-hours wording
Quiet hours are [START] to [END]. During that time, keep outdoor conversation, music, television, vehicle noise, and use of [DECK / BALCONY / HOT TUB] low enough that neighboring homes or units are not disturbed. Please move conversations indoors if voices carry beyond the property.

Smoking, vaping, and fire rules

Distinguish indoor smoking from any permitted outdoor area. For grills, fireplaces, fire pits, candles, or seasonal fire restrictions, give direct operating and extinguishing expectations.

Fire and smoking wording
Smoking and vaping are [NOT PERMITTED ANYWHERE / PERMITTED ONLY AT LOCATION]. No candles or open flames indoors. Use [GRILL / FIREPLACE / FIRE PIT] only according to the posted instructions and never leave it unattended. Fully extinguish fires before leaving the area. Follow any current local burn restriction.

Pet rules

Pet-friendly properties need operational rules, not just "pets allowed." State where animals may go, how waste is handled, whether a yard is secure, and which surfaces or shared areas have restrictions.

Pet-friendly wording
Approved pets must be included in the reservation. Keep pets [LEASHED OUTSIDE / WITHIN FENCED AREA] and pick up waste immediately. Pets may not be left unattended [UNLESS CRATED / PER POLICY]. Keep pets off [SPECIFIC FURNITURE OR SHARED AREA, IF APPLICABLE]. Contact us promptly if a pet causes damage.

Pool, hot tub, waterfront, and outdoor amenity rules

High-risk amenities deserve their own visible instructions. House rules can reinforce behavior, but they do not replace barriers, alarms, signs, equipment instructions, or safety measures required at the property.

Amenity wording
Use [POOL / HOT TUB / DOCK / WATERCRAFT] only during [HOURS, IF ANY]. Children and inexperienced swimmers require active adult supervision. No glass in [AREA]. Follow the posted capacity and operating instructions. Do not use the amenity during [THUNDERSTORM / HIGH WIND / CLOSED CONDITION]. Return [COVERS / LIFE JACKETS / EQUIPMENT] to [LOCATION] after use.

Parking and electric-vehicle rules

Parking rules should identify exact spaces and real restrictions. If EV charging is offered, say which outlet or charger may be used and whether other exterior outlets are off limits.

Parking wording
Park [NUMBER] vehicles only in [LOCATION / SPACE NUMBERS]. Do not park on [GRASS / ROAD SHOULDER / NEIGHBOR SPACE / FIRE LANE]. EV charging is [AVAILABLE AT CHARGER LOCATION / NOT PROVIDED]. Do not run extension cords across walkways or use unapproved exterior outlets for vehicle charging.

Damage and maintenance reporting

Guests are more likely to report a spill, leak, or broken item when the wording is practical rather than accusatory. Explain how to reach you and prioritize active safety problems.

Damage reporting wording
Please report accidental damage, leaks, broken items, or equipment problems as soon as you notice them at [CONTACT METHOD]. Do not attempt electrical, gas, plumbing, roof, or structural repairs yourself. For smoke, fire, gas odor, flooding, or another immediate danger, leave the affected area and contact emergency services before notifying the host.

House rules vs. checkout instructions

House rules govern behavior during the reservation. Checkout instructions explain the few actions needed to leave the property correctly. Keeping them separate prevents the rules list from becoming a long cleaning checklist.

For departure wording, use the vacation-rental checkout instructions template and make sure it matches the booking terms.

House rules quality checklist

  • Every rule applies to a real property, safety, neighbor, or operational concern
  • The wording says what guests should or should not do without vague legal language
  • Quiet hours include exact start and end times
  • Occupancy, visitor, pet, smoking, parking, and event expectations are explicit
  • Amenity rules cover only the equipment actually available at the property
  • Fees or consequences are never invented in the house guide if they are absent from the booking terms
  • Checkout reminders match the listing and scheduled departure message
  • The rule set is reviewed whenever local requirements or property operations change
