Vacation Rental Guest Guide Template and Content Checklist
By GuestMeadow · Published September 22, 2026 · Practical guidance for vacation-rental hosts
A useful guest guide answers real questions in the order guests encounter them. Copy this structure, replace every bracketed idea with property-specific facts, and remove anything that does not apply to the stay.
1. Before arrival and check-in
Start with the information a guest needs before reaching the front door: the approved arrival window, approximate travel notes, exact address in the appropriate private channel, parking instructions, entry method, and what to do if access fails.
Write directions from the guest's point of view. Mention the correct entrance, building, floor, unit, landmark, gate, or parking space. Never rely on a photo alone for a step that could leave someone locked out.
- Check-in time and early-arrival policy
- Parking space and restrictions
- Entry steps in numbered order
- Backup contact method
- Accessibility details the property can accurately support
2. During the stay
Give guests the Wi-Fi network and password exactly as displayed by the router. Add short instructions for heating, cooling, television, laundry, kitchen equipment, pools, hot tubs, grills, fireplaces, or other amenities that are not obvious.
Keep operational instructions beside the related rule. If a hot tub has a cover procedure or a grill has a shutdown step, explain it where the guest will look instead of relying only on a general rules section.
3. Rules, safety, and support
State occupancy, visitor, pet, smoking, noise, parking, and outdoor-use rules in plain language. Explain the behavior required rather than filling the page with threats or legal language.
List the property address, host contact, emergency number, nearest appropriate medical resource, fire extinguisher, first-aid kit, smoke alarms, carbon monoxide alarms, and any property-specific hazard. Emergency information should remain available even if internet service fails.
4. Checkout and local recommendations
Keep checkout tasks reasonable and specific. State the checkout time, key or remote return, trash location, thermostat setting, dishes, doors, windows, and any linen request. Separate required tasks from optional courtesies.
Finish with a selective local guide. Include a few personally useful restaurants, groceries, pharmacies, activities, parking notes, reservation advice, and seasonal cautions. Verify details before publishing and remove closed businesses promptly.
