Airbnb Check-In Instructions Template: Clear Messages Guests Can Follow
By GuestMeadow · Published August 24, 2026 · Practical guidance for vacation-rental hosts
Check-in instructions have one job: help a tired guest move from the road to the correct parking space and through the correct door without needing to call you. The best message is not the longest. It delivers the right detail in the same order the guest encounters it.
Use the templates below for Airbnb, Vrbo, direct bookings, or any vacation rental. Replace every bracketed field, remove sections that do not apply, and verify the finished route yourself - ideally after dark and on a phone. Keep door codes and alarm credentials in the secure, stay-specific message provided to the booked guest rather than in a permanent public guide.
The complete check-in instructions template
This version works as the main arrival message. Send it when your booking channel permits and when the property is ready. If your platform already displays the address or code securely, do not create conflicting copies - point the guest to the authoritative location.
A short day-of-arrival message
Guests often benefit from a concise reminder on arrival day. This should reinforce the essentials, not introduce different instructions or a second version of the door code.
Apartment or condominium variation
Multi-step buildings need extra precision. Separate building access, elevator or stair access, floor, corridor, and unit entry. State whether a fob, concierge, call box, parking ticket, or registration is involved.
Rural cabin or hard-to-find property variation
Rural addresses may route guests to the wrong driveway or lose cellular service near arrival. Provide a downloadable or screenshot-friendly final approach, warn about road conditions honestly, and identify a landmark before signal drops.
Late-night self-check-in variation
Night arrivals need visible details: lighting, unit numbers, quiet-hour expectations, and a support path that is realistic after hours. Never promise immediate overnight support if you do not provide it.
Accessibility and family-arrival details
Describe facts rather than making broad claims such as “fully accessible.” Useful details include step count, doorway width when known, elevator availability, slope, distance from parking, lighting, surface type, and where a stroller can be stored. Guests can then decide whether the route meets their needs.
What not to include in a permanent guide
- Permanent door, gate, alarm, lockbox, or utility credentials visible to anyone with the link.
- A guest's name, booking dates, phone number, or other reservation-specific information.
- Directions that conflict with the current listing address or building rules.
- Claims about accessibility that you have not measured or verified.
- Instructions to bypass a building's security, parking controls, or local requirements.
A durable guest guide can explain the route and how the lock works. The booking channel or another secure guest-specific method should deliver the credential itself.
Check-in instructions quality checklist
- The property address is complete and opens correctly in a map
- Check-in time and early-arrival policy are explicit
- Parking instructions identify the exact permitted space or area
- The final approach and entrance are distinguishable after dark
- Entry steps describe the lock in the order the guest uses it
- Stay-specific codes are delivered through a secure guest channel
- The message explains what to do if the lock or code fails
- Wi-Fi details are available after entry
- The host contact method and expected response path are clear
Test the arrival like a first-time guest
Start several blocks away and follow only the message. Use a phone, arrive after sunset if guests might, and do not rely on what you already know about the property. Confirm the map pin, parking signs, exterior lighting, building access, unit number, keypad response, and support number. Ask someone unfamiliar with the rental to repeat the test whenever the route is unusually complicated.
Recheck the instructions after construction, landscaping, lock replacement, parking-policy changes, or seasonal weather. A message that worked last year may be wrong today.
Keep arrival details connected to the full stay
GuestMeadow gives guests one mobile guide for arrival, Wi-Fi, house information, checkout, contact details, and local recommendations. The link stays stable while you update the content behind it.
